Definition

What is a system of record for shop-floor knowledge?

A system of record for shop-floor knowledge keeps one trustworthy answer to “was this person trained on this version of this method?” — with the identity, the revision, the time and the signature behind it.

Results, not activity

Done, outstanding, signed and expiring — not page views.

Per person, per version

Every record is tied to the exact revision in force.

Built as you work

The record is a by-product of the floor using REWO. Nothing to type up later.

The audit log

Every run leaves evidence

Each time someone works through a guide, a form or a course, REWO keeps a session record.

Who

The person, their team, and how they reached it — assigned, board, link or QR.

Which version

The exact revision they saw.

When

The completion, confirmed and time-stamped.

Signature

A typed name, or a typed name plus a drawn signature — once per version, or on every submission for daily checks.

Guides

The step trail — confirmed, viewed, skipped or not reached.

Forms

Every answer, marked correct or wrong against the expected answer.

Courses

The certificate and its state, plus the trail of every guide and form inside the course.

How it's organized

From the whole plant to a single signature

Every number on every screen rolls up from those session records, so the summary and the evidence always agree.

  1. Step 1

    Overview

The worst state of guides, forms, courses and people, with the most urgent items first.

  2. Step 2

    Worklists

All guides, forms, courses or people, sorted by what needs attention — outstanding signatures, expiring certificates, approvals waiting.

  3. Step 3

    One item or one person

Completion, signatures and results for a single guide, form or course — or everything one person has done and still owes.

  4. Step 4

    The session record

One person, one run, the full evidence.

Oversight

Every number is the route to the work

Outstanding work

Click the count and see exactly who still owes it. Remind them in one step.

Certificates

Valid, expiring within 30 days, expired, never certified — per course, per team, per person.

Approvals

Content waiting in review or approval, who is holding it up, and for how long.

Assigned vs open access

Mandated work and QR or link activity are counted separately, so completion rates stay honest.

In practice

“Show me this operator was trained on the current revision.”

Open the operator's profile. Pick the instruction. The session record shows the revision, the completion time, the signature and the steps they confirmed — on screen, in front of the auditor. Then export it to CSV for the audit file.

FAQ

Questions, answered

What does REWO record?
For every guide, form and course run: who, which version, when it was completed, the signature, and the step trail, answers or certificate.
Can the record be changed after the fact?
No. Revisions, approvals and electronic signatures form an unalterable record.
Can we export evidence for an auditor?
Yes. Filter the view you need and export it to CSV. Custom exports can be set up too.
Can we use our own BI tools?
Yes. Results are available through the REST API and webhooks — Hidria, for example, reports in Power BI.
Does QR or open-access use count?
Yes, but separately. Completion rates are calculated on assigned work only, so open access never inflates them.
What happens to records when an instruction changes?
Results are kept per version. The new version starts a new set of assignments, and the old records stay on file.
How is personal data handled?
REWO is built to GDPR, with defined roles, retention rules and deletion on request.
